Privacy Policy
Gray Wolf Technology LLC ("GWT," "we," "us," "our") respects your privacy. This Privacy Policy explains what personal information we collect when you visit graywolftechnology.com or engage us for services, how we use and share it, and the rights and choices you have. By using our Site or services, you consent to the practices described in this Policy.
1. Information we collect
Information you provide to us:
- Identity and contact data: first and last name, mailing address, email address, phone number, company name.
- Communications: the content of emails, contact form submissions, and support tickets.
- Billing data for paying clients: billing address and the last four digits of a payment card. Full payment card numbers are handled by our PCI-DSS compliant payment processor and are not stored by GWT.
Information collected automatically:
- Device and usage data: IP address, browser type and version, operating system, device identifiers, access times, pages viewed, and referring URLs.
- Cookies and similar technologies (see Section 4).
We do not knowingly collect special categories of personal data (e.g., health, biometric, or government identifiers) through the Site.
2. How we use information
- To respond to inquiries, provide requested information, and deliver services.
- To process payments and manage billing for paying clients.
- To operate, maintain, secure, and improve the Site.
- To comply with legal obligations, enforce agreements, and protect against fraud or abuse.
- With your consent, to send marketing communications about our services. You can unsubscribe at any time (see Section 7).
3. Legal bases for processing (EEA/UK users)
If you are in the European Economic Area or the United Kingdom, we process your personal data on one or more of these legal bases:
- Contract: to enter into or perform a contract with you.
- Legitimate interests: to operate and secure our business (balanced against your rights).
- Consent: for non-essential cookies and marketing emails. You may withdraw consent at any time.
- Legal obligation: to comply with applicable law.
4. Cookies and tracking
We use a limited set of cookies and similar technologies:
- Strictly necessary cookies that enable core site functionality. These cannot be disabled without breaking the Site.
- Analytics cookies (only if you consent) that help us understand how visitors use the Site. We currently use Google Analytics 4 (GA4), with IP anonymization enabled. Analytics cookies are only set after you accept them through our cookie banner.
You can manage your preferences through our cookie banner or through your browser settings. Disabling cookies may affect Site functionality. We do not currently respond to Global Privacy Control (GPC) or "Do Not Track" signals but may do so in the future.
5. Sharing and disclosure
We do not sell or rent your personal information. We share personal information only as follows:
- Service providers (sub-processors): vendors who perform services on our behalf — including cloud hosting, email delivery, analytics, CRM, and payment processing — under written contracts that restrict their use of your data. A current list of sub-processors is available on request at privacy@graywolftechnology.com.
- Legal and safety: when required to comply with law, respond to lawful requests from public authorities, protect our or others' rights, or investigate suspected fraud.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to notification to you and appropriate safeguards.
6. International data transfers
We are based in the United States. If you access the Site from outside the U.S., your personal information will be transferred to and processed in the United States. For transfers of personal data from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as Standard Contractual Clauses.
7. Your choices and rights
All users. You can request a copy of, correction of, or deletion of your personal information by contacting privacy@graywolftechnology.com.
EEA/UK residents (GDPR): you have the right to access, rectify, erase, restrict, port, and object to processing of your personal data, and to lodge a complaint with your local data protection authority.
California residents (CCPA/CPRA): you have the right to know what personal information we collect, to request deletion or correction, to opt out of any "sale" or "sharing" of personal information (we do not sell or share personal information as those terms are defined under the CCPA), to limit use of sensitive personal information, and to non-discrimination for exercising these rights.
Marketing emails. To stop receiving marketing emails from us, click the "unsubscribe" link in any such message or email privacy@graywolftechnology.com. Transactional messages (service updates, billing notices) cannot be unsubscribed from while you have an active engagement.
8. Data retention
We retain personal information only for as long as needed to fulfill the purposes for which it was collected, or as required by law. Indicative retention periods: contact form submissions — up to 24 months after last contact; client billing and tax records — 7 years to meet legal requirements; marketing mailing list — until consent is withdrawn.
9. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the data. These include TLS encryption in transit, access controls, multi-factor authentication for administrative accounts, and periodic reviews. No system is perfectly secure; we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and regulators as required by law.
10. Children
The Site is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us personal information, contact privacy@graywolftechnology.com and we will delete it.
11. Third-party links
The Site may contain links to third-party websites. We are not responsible for the privacy practices of those sites. Please review their privacy notices before providing personal information.

14. Amazon Customer Data
This section governs Amazon-sourced personally identifiable information (PII), such as recipient names, shipping addresses, contact information, and order details retrieved through Amazon's Selling Partner API (SP-API) in connection with order-fulfillment workflows. Amazon-sourced PII is handled separately from, and subject to stricter retention and processing controls than, the general customer information covered elsewhere in this Policy. For a description of the application itself, see our Amazon SP-API page.
Purpose limitation. Amazon-sourced PII is used solely for seller-authorized order fulfillment, shipping documentation, carrier label creation, inventory and fulfillment synchronization, and shipment/tracking confirmation back to Amazon. It is not used for marketing, analytics, profiling, resale, advertising, or any unrelated purpose.
Retention. Amazon customer personally identifiable information is retained only for the time required to complete the fulfillment workflow and is deleted within 30 days.
Shipping carriers
The third-party shipping carriers that receive a minimal subset of Amazon-sourced shipment information are:
- FedEx
- USPS
These carriers receive only the minimum information required to create shipping labels and process delivery, such as recipient name, shipping address, and package details. Amazon customer PII is not sold, shared, or disclosed to any third party for marketing, analytics, advertising, profiling, or any non-fulfillment purpose.
Security. Amazon-sourced PII is protected by encrypted data transmission, encryption at rest, least-privilege access controls, centralized logging and monitoring, and vulnerability management procedures.
Contact for Amazon data requests. For inquiries specifically related to Amazon-sourced customer data, contact privacy@graywolftechnology.com.
